My stores Micros 3700 “Tracking Groups” have been changed causing GETLinked Software POSLink imports to be out of balance. What steps do I need to take to adjust this?

This is a common occurrence with ALL point of systems, including Micros 3700, and it does affect all third party interfaces that depend on this point of sale data.

There are two ways you can adjust GETLinked Software POSLink Definitions to match the new tracking group setup.

WARNING: BACKUP GETLINKED SOFTWARE BEFORE YOU ATTEMPT ANY CHANGES!

Method 1: Manual Adjustment
1. Print out a copy of your current GETLinked Software Defintions for your reference. Click on the Printer button next to the Filter By dropdown.
2. Open the Financial Location setup window by going to Setup > POSLink > Location.
3. Select the location that was changed and click on the Definitions tab.
4. Manually update the affected definitions to match the changes made in your Micros 3700 system.
You can get a list of the tracking groups and tracking totals in the Micros POS Configurator utility.

5. To adjust each affected definition:
  • a. Click on the definition you want to adjust.
    b. Click on the Underlined Description hyperlink or the Expansion button in the definitions header.
    c. Change "Definition 2" and "Definition 3" as needed ("Definition 2" is the tracking group number from Micros. "Definition 3" is the tracking total number from Micros)
    d. Click OK to close the Financial Definition window. The original definition will not be changed. The new definition will copy the Description, Category, Account number and so on from the original definition.
    e. Repeat this process for all affected definitions.
6. Update or recreate any GETLinked Software Calculations based on the old tracking group.

Method 2: Re-import definitions:
1. Print out a copy of your current GETLinked Software Defintions for your reference. Click on the Printer button next to the Filter By dropdown.
2. Open the Financial Location setup window by going to Setup > POSLink > Location.
3. Select the location that was changed.
4. Click on the Setup button next to your Micros version.
5. Click on the Setup button next to Import System Totals and/or Import Revenue Centers depending on what level of detail you use.
6. When asked if you want to import definitions by Summary, Detail or Both select Detail.
7. Follow the import prompts providing the Micros 3700 data files as requested. This will import the new definitions while not affecting the existing definitions.
8. Assign account numbers to the new definitions and adjust any GETLinked Software Calculations based on the old definitions.
